WELCOME TO SCHOOLZ OUT

What You Need
to Know.

Thank you for choosing Schoolz Out. Our aim is to provide safe, exciting and inspiring sport, enrichment and childcare experiences that children love and parents trust.

These terms help explain how our provision operates and the responsibilities of Schoolz Out and families using our services.

Bookings & Registration

Places are booked through the relevant Schoolz Out online or school booking system. Where payment applies, a booking is confirmed once the required payment or Direct Debit arrangement has been received.

Families are responsible for providing accurate information, including:

  • Child and parent or carer details
  • Emergency contact information
  • Medical conditions
  • Allergies or dietary requirements
  • Collection arrangements
  • Any other information needed to support the child safely
Please keep information up to date.

Changes to contact, medical or collection details should be provided to Schoolz Out as soon as possible.

Payments

Fees are payable in advance according to the payment arrangement agreed when booking.

Payment Methods

The agreement provides for Direct Debit, major debit and credit cards and online bank transfer.

Direct Debit

Direct Debit payments are taken on the 4th of each month, or the next working day.

Late Payments

A late payment fee of £10 may be charged where a payment fails or is late.

Outstanding Balances

Schoolz Out reserves the right to suspend or withdraw a child's place where an account remains outstanding.

Where payment remains unpaid after reminders, a child's place may be withdrawn and the account may be referred for debt recovery. Costs incurred may be passed to the account holder.

Cancellations, Refunds & Credits

Parent Cancellation

The agreement requires 30 days' written notice to cancel a regular club place. Notice can be provided by email to the Schoolz Out office.

Cancellation is processed at the end of the notice period. Payments already taken within that notice period are non-refundable.

If Schoolz Out Cancels

If Schoolz Out needs to cancel a session, families will be informed as soon as possible. We will try to provide an alternative date or credit.

If an alternative cannot be provided, the agreement provides for a full refund for the cancelled session.

Credits

  • Credits can be used for future Schoolz Out sessions or activities
  • Credits are valid for 6 months from the date of issue
  • Credits are non-transferable
  • Credits cannot be exchanged for cash
Change of mind or non-attendance

Refunds are not normally offered for change of mind, non-attendance or cancellation without the required notice. Refunds or credits may be offered at Schoolz Out's discretion in exceptional circumstances.

Extreme Weather & Events Beyond Our Control

If conditions make it unsafe to operate, Schoolz Out will make decisions in the interests of children and staff and communicate changes as early as possible. Alternative dates or credits will be offered where possible.

Arrival & Collection

Families should follow the arrival and collection arrangements provided for their Schoolz Out session.

  • Children are registered by Schoolz Out staff
  • Important changes should be communicated to the team
  • Children are only released to an authorised adult
  • Authorised collector information should be kept up to date
  • Identification may be requested where a collector is not recognised
  • A password system may be used for additional security

Late Collection

If you are running late, please contact Schoolz Out as soon as possible.

Late collection charges

The Parent Booking Agreement provides for a £10 fee for the first 15 minutes, followed by £1 per minute after that. Repeated late collection may result in a child's place being withdrawn.

Health, Medical Information & Safety

Parents and carers must tell Schoolz Out about relevant medical conditions, allergies, dietary requirements or other information needed to support their child.

Medication

  • Medication requires prior written permission
  • Medication must be in date
  • It must remain in its original container
  • Medication should be clearly labelled
  • The required medication information or form must be completed

Illness

Children should not attend if they are unwell. Schoolz Out may contact a parent or carer if a child becomes unwell during a session.

Relevant exclusion periods should be followed where illness could spread to others.

Accidents & Emergencies

Appropriate care and first aid will be provided where required. Incidents are recorded and parents or carers are informed.

In a serious emergency, emergency services may be contacted. Schoolz Out will also try to contact the child's parent, carer or emergency contacts.

Behaviour & Respect

Schoolz Out aims to create positive, safe and respectful environments where children feel happy, supported and valued.

Children Are Expected To

  • Listen to and follow instructions
  • Be kind, honest and helpful
  • Respect other people and their belongings
  • Help keep themselves and others safe
  • Use positive words and actions

Parents & Carers Are Expected To

  • Support and encourage their child
  • Provide accurate information
  • Respect staff and other families
  • Follow Schoolz Out policies and procedures
  • Raise concerns with the team appropriately

Bullying is not tolerated. Schoolz Out uses positive reinforcement and age-appropriate approaches to support behaviour.

Removal from activities

If a child's behaviour puts themselves, other children or staff at risk and does not improve, Schoolz Out may ask that child not to attend future sessions. We will aim to speak with parents first and work together to find the best solution.

Working Together

A positive Schoolz Out experience relies on clear communication and cooperation between our team, families, schools and children.

  • Provide accurate registration information
  • Tell us when important information changes
  • Follow arrival and collection procedures
  • Pay applicable fees in line with the booking agreement
  • Tell us about relevant medical or additional needs
  • Communicate with the Schoolz Out team if there is a problem
  • Follow Schoolz Out policies and procedures
